To manually back up your Hotmail (now known as Outlook.com) emails, you can follow these steps:
1. Access your Hotmail/Outlook.com account: Go to the Outlook.com website and sign in using your Hotmail/Outlook.com email address and password.
2. Enable POP or IMAP access: By default, Outlook.com supports both POP (Post Office Protocol) and IMAP (Internet Message Access Protocol). However, you may need to ensure that these options are enabled for your account. To do this, go to the Settings menu (gear icon in the top right corner) and select "View all Outlook settings." Then, navigate to the "Mail" section and click on "Sync email." Under the "POP and IMAP" section, make sure that POP and IMAP access are turned on.
3. Set up your email client: To back up your Hotmail/Outlook.com emails, you can use an email client program such as Microsoft Outlook, Mozilla Thunderbird, or any other email client that supports POP or IMAP. Open your preferred email client and follow the instructions to set up a new email account.
- For POP access: Provide your Hotmail/Outlook.com email address, select POP as the account type, and enter the incoming and outgoing server settings. The incoming POP server is usually "pop-mail.outlook.com," and the outgoing SMTP server is "smtp-mail.outlook.com." Use your Hotmail/Outlook.com username and password for authentication.
- For IMAP access: Provide your Hotmail/Outlook.com email address, select IMAP as the account type, and enter the incoming and outgoing server settings. The incoming IMAP server is usually "imap-mail.outlook.com," and the outgoing SMTP server is "smtp-mail.outlook.com." Use your Hotmail/Outlook.com username and password for authentication.
4. Sync and download emails: Once your email client is set up, it will start synchronizing with your Hotmail/Outlook.com account. Depending on the email client and settings, it may download all emails from your account or only a specified time range. The emails will be stored locally on your computer, providing a backup of your Hotmail/Outlook.com emails.
5. Organize and store the backup: After the emails are downloaded, you can organize them in folders within your email client or export them to another file format, such as PST (Personal Storage Table) in Microsoft Outlook. This allows you to keep the backup files separate from the live emails on the server.
Remember to regularly back up your emails to ensure you have the most up-to-date copies in case of any data loss or accidental deletion.
